Meetings

May Commons Minutes

May 17, 2013
Transcribed by Stephen Bloch

Started around 8:15.

Webminister: not much news, but it's the end of the semester; should be able to do some maintenance soon.

Lions End:    started archery practices at Cedar Creek
Have been asked to participate in Bellmore Street Fair again, 9/21-22  (conflicts with QCFFD); we'd like to be there one day or the other, but not sure which.

Broken Bridge:    Had heraldry workshop w/visitor Alys Mackyntoich

Chronicler: E-horse went out last night.

Guy points out need to change moderators for Ostgardr Facebook group, to make sure some current officers are moderators.  (Friderich is a moderator; would like more than one.)

Knight Marshal: nothing much.  Beau Geste is happening monthly; Grants Tomb is every week, normally 1:00 (but may be different when it's Beau Geste).  Lou is in charge (it's officially WW).

Chamberlain: we have a new large green & white tent.  Everything is much heavier than on old tent (e.g. Mitch can't lift canopy by himself, and only 2 poles at a time); need to give more thought to personnel for moving & setting up.  Nylon ropes are too slippery; need to replace.  Will discuss when it's up at Riverfest.
Most of the cooking gear is back at Krevors', but a few items still in Northpass.  Need to schedule (tonight) an inventory party.
Mitch sez he was authorized several years ago to buy rolling wire racks to store stuff, but didn't; consensus that he's still authorized (<= $300).

Exchequer: bought a canopy for $2600.  Crown had 360 people, and made $1900-2000, which will be split with Kingdom.
Will be handing over office to Richard at the end of June.

A&S: Stuff is going on.  Somebody took photos of A&S display at Crown

Archery: started for the year, every Sunday in S.I. (usually 1 PM).

Herald: stuff is happening.  Silver Sea Lion created, w/Suuder as principal.  Sea Dog for Tormundr.  Melanie got Seahorse.  Discussion of whether to try to reserve natural seahorse in all colors, for use in lots of new Orders some day in the future.

Viceroy: Thanks to Valgard for running Crown.

Historian: There were awards at Crown (see above).

Seneschal: need to schedule Officers' Meeting and Pennsic Planning Meeting.
    Drop-dead deputy is Lori.

Past events & demos:

Crown: weather was great, site was great, feast was great, bathrooms were problematic.  Rangers, Scouts, and Council all liked us.  Hall would work better for 80 diners than 100.  Probably don't need to rent cabin next time (would save $$).
Irreconcilable differences between BSA and SCA archery regulations.
Mitch is still waiting for a few bits of paperwork before completing financial report.
Thanks to kitchen crew and prep crew.  Kitchen smaller than you would believe; would have been in trouble if hadn't extended prep & staging space into hall.  Limited number of burners.  Site has large charcoal grill just outside that we didn't use; ask rangers about it.
Johanne would like to see a "generic pre-planning checklist", shorter & more convenient than Autocrat's Handbook.  Guy says Settmour has a nice checklist we could use as a model.
Mitch says event management went well and smoothly.
Jacki points out problems with handicap access: handicapped parking spaces are time-limited, & they don't allow cars to move people to/from hall (although hall itself is ADA-compliant).  Valgard will discuss with BSA Council.
Hall cleanup on Sunday: need to prearrange more cleanup crew.

Upcoming events & demos:

Viking Day is tomorrow.  Setup at 9; open to public at 11:30.

An Dubh Ostgardr War June 8.  Viceroy taking suggestions for merriment and japery.

Riverfest June 30.  Tell Lori if you're planning to attend.  More ships coming this year; expect even more public.

Queens Co. Farm Fair Demo Sept 21-22.  Discussion of different kinds & purposes of demos.
They'd let us use the site, but need a lot of lead time; should find a way to take advantage.  They would also let us use education building for regular arts&crafts activities.
We have a good and hard-working demo team, but there are lots of regular annual demos & risking burnout.  Is it a good idea to have two demos same day?

Cloisters: no date yet.

Musicians' Day proposal: proposing slight price rise.  ExCom will need more time to digest budget.

Proposal to buy some helmet gauge (?)

Officers' mtg. No site & date agreed to; will discuss on Officers' list.
Pennsic mtg.  Guy & Mitch will discuss.

June Commons: no site & date agreed to.

Aug. 15 Commons at the Peters/Bloch residence
