January Commons Minutes

Transcribed by Stephen Bloch

Jan. 18, 2013

Chronicler: Encourage your friends to subscribe to the E-Horse (it's free!)

Musicians' Day: moving right along, two teachers couldn't make this date but they've been replaced.

Chatelain: new Chatelain acknowledged by Kingdom

Northpass:
1) Magdelena has formally been endourced as our new Chatelaine. We have much confidence in her and she has been given several projects to run with.
2) Northpass has been welcomed back to do a Lunacon demo again. (Dates for the event is March 15-17...the demo date is not yet set.) Details will be shared soon but you heard it here first. We are looking for as much help as possible from the Province.
3) Tavern still has space available! The event usually sells out well before the event so we strongly suggest those who wish to attend that they get their preregistration in soon.
4) Barleycorn planning is starting...dates is September 6-8.
5) We are (again) planning to try to do the oft described and plotted but never executed Florentine event. Hope is for an October date... Site is Blue Mtn lodge...

Vicereine: Jenna Childslayer got a Troubadour at Twelfth Night

Historian: mouth full

Exchequer: we have money.  Annual report due 2/15; on track.

Chamberlain (w/help from Alexandre): Feast gear is at Wilhelm's, and he and Mael Eoin will get it to the site for Musicians' Day.

WW: Held quarterly Commons.  Eularia is new Seneschal, Philip is new Exchequer.  Melanie will contact Kingdom.

LE (Brekke): Guy ran December meeting as incoming Seneschal.

Seneschal: Kingdom has acknowledged new Seneschal; formal warrant to come any week now.  Reports are in.  [E-mail "alias" of seneschal@ostgardr.org now live]

A&S: Brekke is doing a cooking workshop this weekend, and Musicians' Day is next weekend.  (Guy points out need for baldric manufactory.)

Archery: had arrow-making night.  Too cold to shoot.

Viceroy: Still discussing date of Og/An Dubh war.
Beau Geste tomorrow; there exists a pretty medallion.

Knight Marshal: Beau Geste tomorrow at Grant's Tomb.  Had two practices at Grant's Tomb already; it works nicely.

Upcoming events & demos:
Bear's Tavern: space still available; please send it to Richard the Poor.
Northpass asked to do demo at Lunacon 3/15-17; will need help.
Crown Tourney: [see below].
Viking Day 5/18 12:00-5:00; can set up starting at 10:00
Og/An Dubh War: still working on date, activities, etc.
Riverdale Riverfest: 6/30 (the day after Bhakail Investiture)
Barleycorn 9/6-8
Florentine event in Oct?
Lions End event in fall?
Musicians' Day November?
Considering demo for Tartan Day (4/6); DKrevor suggests not doing it ourselves just before Crown, but attending the parade to scope things out.

Green & White Purchase: We discussed replacing the Provincial "big top" demo pavilion a year or two ago, but it fell off the agenda.  General consensus in favor.  Tormundr, Richard, & Ian will investigate & confirm prices.  Officers present authorized Finance Committee to make final decision.

Katherine & Jacqueline doing costume help session on 2/9 at Jacki's.  Bring your problems & we'll try to solve them.

Tormundr putting in an order for rattan, to be picked up at Birka.

Crown Tourney: 4/26-28.  Philip in charge of gate.  Valgard needs permission to publish people's contact info (particularly Philip's).
Tormundr is general deputy.
Ian is co-autocrat & drop-dead, esp. if Valgard wants to fight
Guy will work w/new Earl Marshal.
Budget includes $ for list-ropes and stakes
Lilli in charge of PR
Food crew: Carl, (Alexandre,) Sherri, Sherre, … Need to visit the kitchen & check facilities.  Need somebody in charge of day board.
Need chief server, various marshals, setup crews, decorating committee, etc.  Have lots of thrown-weapons and archery marshals available; will pick somebody as point person.
Rufina will assemble band of shawm players for fanfares, etc.
Melanie volunteered to be Entertainment Coordinator.
Eularia is Royal Liaison.
Site tokens?
Lada asks about A&S display.  It would need to be indoors, a long walk from the tourney field, but could do this.  Tabled.
Hannah is doing event web site.
Brief discussion of ACCEPS; decided not to use it.
Lada needs to go see the site, as do several other people (Carl, Guy, Gary, Suuder, Johanna, …).  Site visit and crew-chief meeting 2/9, 9 AM.
Valgard will make up event book, incl. map of site.
Anybody taking a job for the event, please give Tormundr your preferred e-mail address.
Site is ABSOLUTELY dry.  Valgard will check on tobacco, dogs.
Feast limited to 100 due to hall size.  DKrevor suggests taking a very long waiting list, because people at Crown often abandon their feast reservations.
Have somebody staffing the seating chart to avoid duplication, check reservations, etc.
Ian suggests feast tickets, which must be surrendered to the person at the seating chart.  Tickets are transferrable, on your own.  Half an hour before the feast, all unclaimed seats will be sold to the waiting list.  Discuss on Officers' list to see if we can make things simpler.
6 people at High Table, 96 people in hall, plus feed kitchen & serving staff; estimate 120.  No off-board in the hall; there are picnic tables outside for off-boarders.
Comp Majesties and Highnesses, kitchen & serving staff, nobody else.  (If Highnesses have already paid for feast, they can transfer their feast fix to somebody else.)
Come up with a clear policy on who qualifies as "kitchen & serving staff" for comp purposes.
Prereg & cancellation deadline two weeks in advance.  No late fee.

Other Local Activities

Beau Geste Tournament
Sunday, February 17.  A monthly tournament designed to give fighters practice at tourney fighting and to teach newer fighters about the formal trappings of an SCA tournament. The winner of the tournament is declared "Beau Geste" and gets to help run the next month's tournament. We hope to draw fighters from not only Ostgardr but the whole of the southern region. The tourney will take place at noon at Grant's Tomb, West 122nd Street and Riverside Drive in Manhattan. There is ample parking. Vive le Beau Geste!
Cooking Workshop
Sunday, February 17. Medieval Cooking workshop at Countess Brekke's house. We'll discuss an aspect of Medieval cooking, prepare a Medieval meal, and eat it for dinner. Please let Brekke know in advance if you're interested: her kitchen is small. This is a participation class, and a group effort. Please note that in general, the house is messy, and that there are five cats living indoors.
Østgarðr Scribal Gathering:
Sunday 2/17 in the basement common room of 552 Riverside Drive, from 1:00 p.m. to 4:00 p.m.  Please bring any scribal questions you may have and/or your ongoing projects to discuss and work on in a group of fellow scribes :-)  We will be working on blanks for Provincial awards.
